ETA's Group and Meeting Travel department consists of 10 travel counselors who have over 15 years of experience in group travel. We are experienced in coordinating national conferences and worldwide congresses ranging in attendance from 25 to 25,000. We will help arrange any function, large or small, including air, hotel, ground transportation and all meeting room needs. We work closely with each airline group and meeting desk in order to negotiate the lowest group discounts or zone fares. Once we have negotiated the contracts, we can load these rates on our booking engine, establish a separate portal for each meeting and put a link on your intranet page. References should be made of the link in any promotional materials sent out as well in order to direct the travelers to our site.
Our meeting planning internet based booking engine will support all aspects of the meeting planning process. Conference attendees and staff travelers can go directly to our website to establish a profile that can be stored and used for future meetings. This database allows the clients to query your existing profiles and quickly invite them to specific meetings or default them into a particular audience of that meeting. This on-line registration process can be customized for each meeting, creating your own questions and data fields. Custom or standardized reports can then be generated based on these unique data fields for each meeting or conference. These reports are saved to a client log-in area that allows you to view reports and track the registration process at your convenience.
Web Based - Real Time Reporting
We have the ability to create the exact duplicate of your hotel contract so that as your attendees register, their hotel room is also being recorded. The system keeps track of your inventory and gives you warnings in advance to any hotel or room type or category being completely sold out. All rooming list reports and change reports are web-based and in real-time. This allows you complete control of your housing assignments, room inventory and billing specifications.

Additionally, due to our strong partnerships with hotels, we are often able to negotiate commissionable room rates that can be used to offset a portion of the meeting costs or travel management fees.
